1. Scheduling & Recurring Appointments Policy

Sessions are scheduled on a recurring basis at the same day and time. Any changes to recurring appointments must be requested in advance. If attendance becomes inconsistent, clients may be transitioned to a non-recurring (“floater”) schedule.

2. Cancellation & No-Show Policy

A minimum of 24-hour notice is required to cancel or reschedule an appointment. Late cancellations (less than 24 hours) and no-shows will incur a $100 fee.

3. Late Arrival Policy

Sessions will end at the originally scheduled time, even if the client arrives late. The full session fee will still apply. If a client has not joined the session within 15 minutes of the scheduled start time, the session will be marked as a no-show and subject to the $100 no-show fee.

4. Early Departure Policy

If a client leaves the session before 15 minutes have elapsed, the session cannot be billed. The appointment will thus be considered a late cancellation and will be subject to the $100 late cancellation fee.

5. Communication Policy

Communication outside of sessions, including email, text, or phone, is intended for administrative purposes only and is not a substitute for therapy. Response times are typically within 24 business hours.

6. Confidentiality & Limits of Confidentiality

Client confidentiality is protected in accordance with HIPAA, with standard exceptions including risk of harm to self or others, suspected abuse or neglect, and court orders. To help maintain confidentiality, clients are required to attend sessions from a private, safe, and secure location. If a client joins a session from a public setting or a space where others are present and confidentiality cannot be ensured, the provider may terminate the session. In such cases, the session will be considered a late cancellation and a $100 fee will apply.

7. Location & Out-of-State Policy

Clients must be physically located in the state of Washington at the time of each session. If a client joins a session while located outside of Washington State, the provider will be unable to proceed due to licensing restrictions. In such cases, the session will end and be marked as a late cancellation, and a $100 fee will apply.

8. Late Cancellation Exception & Rescheduling Policy

In certain circumstances, the clinician may offer a one-time reschedule for late cancellations made within 24 hours, based on availability within a 48 business hour window. If the rescheduled session is missed or not attended, the $100 late cancellation fee will still apply.

9. Outstanding Balance & Payment Policy

Clients are responsible for maintaining an active and valid payment method on file. Any outstanding balance from a previous session must be paid, or a valid card must be updated, prior to the next scheduled appointment. If the balance is not resolved in advance, the upcoming session may be canceled and subject to the $100 late cancellation fee.

10. Ongoing No-Show & Scheduling Policy

If a client does not attend a scheduled session and does not communicate with the practice prior to the next scheduled appointment, the practice reserves the right to cancel all future scheduled sessions. Clients may request to resume services at a later time, subject to availability.
